EVENT COORDINATOR (Freelance)

Full-Time from April 1 – June 28, 2019

Salary commensurate with experience

We are seeking an Event Coordinator with 3-5 years of experience to support the execution of our Summit taking place at the Museum of Modern Art and Parsons School of Design in June 2019. The Event Coordinator will support the Program Manager in all aspects of event management. The project will run from April 1 to June 28.

This position is an opportunity to advance the exciting intersection of science, art, and design. A significant portion of the role’s event planning responsibilities will be dedicated to the BDC Summit. Candidates must demonstrate proven leadership and be passionate about delivering and executing innovative ideas and experiences. Candidates must be comfortable with working independently and on a team.

The event will include:

  • Concurrent speakers in three theaters

  • 400 guests

  • A gallery opening for the public at Parsons School of Design

  • An instructor feedback session

  • A farewell student mixer

RESPONSIBILITIES

  • Coordinating with Program Manager and student teams to oversee the gallery setup

  • Producing print materials, including judge’s packets, programs, badges, and posters

  • Working with A/V staff

  • Working with caterers

  • Organizing BDC volunteers

  • Coordinating with Summit judges

  • Liaising with speakers

  • Collecting presentation documents from speakers (e.g. PowerPoint decks); checking presentations for quality control and AV formatting prior to the event

  • Ordering event materials and supplies

  • Budget reporting

QUALIFICATIONS

  • 3-5 years of work experience in fast-paced event planning and project management positions

  • Creative problem solver with exceptional attention to detail and communication skills

  • Ability to prioritize and effectively manage multiple competing tasks and meet deadlines

  • Highly adaptable and flexible working style

  • Experience working onsite during event execution, in both front of house and behind the scenes positions

  • Excellent writing and interpersonal skills

  • Interest in speculative design, science, and the arts
